Administrative Assistant for Campus Living & Campus Ministry

IJͼ is currently seeking to hire a full-time Administrative Assistant for Campus Living and Campus Ministry. This position will provide administrative and programmatic support, collaboration, and office coordination to the Director of Campus Living and the Campus Pastor.

Responsibilities include:

Secretarial & Administrative

    1. Provide general office management for the office of Campus Living and Campus Ministry, including but not limited to:
    • Answer telephone for residential operations, routing calls as appropriate.
    • Serve as receptionist for the Director of Campus Living and Campus Pastor.
    • Serve as the lead person for scheduling and billing for guest apartments, in conjunction with the AC for Seguin Hall
    • Maintain calendar and appointment schedule.
    • Order necessary supplies.
    • Maintain current records of all Campus Living and Campus Ministry correspondence.
    • Serve as a resource for Area Coordinators and Resident Assistant staff maintenance, pest control and laundry equipment repair calls.
    • Type residential/staff correspondence for the Director of Campus Living as directed.
    • Enter into the university computer system: housing assignments/changes as provided by director or Area Coordinators; meal plan choices/changes; housing damages and housing cancelation fees. Send letters to students regarding these charges.
    • Request computer-generated reports as needed.
    • Route and/or deliver messages to students.
    • Track all Off Campus Request forms; give forms to appropriate Area Coordinator for processing; fax forms when necessary and send letters regarding decision
    • Enter into university computer system all judicial sanctions and track sanctions. Report to Director when a sanction has not been completed by the due date. Send letters to students when appropriate.
    • Access the Odyssey computer system for meal plan questions and print students’ accounts when needed.
    • Work with Financial Aid and Payroll to ensure all RA staff have proper paperwork done prior to employment.
    • Participate in department and university functions as necessary, opening of each semester, etc.
    • Occasional evening and/or weekend work may be required.
    1. Campus Ministry specific duties and tasks:
    • Work with Payroll to ensure all Campus Ministry student workers’ timesheets are completed properly and submitted bi-weekly.
    • Reconcile monthly credit card statement and submit for approval.
    • Reserve spaces for meetings/gatherings (outside use of chapel as well as other IJͼ spaces).
    • Work with Business Office for processing of invoices/services.
    • Order necessary supplies.

    • Demonstrate essential in-person telephone, and online courtesy.
    • Perform other related duties as assigned or requested.

    Job Requirements:

    • High school diploma or GED required; Bachelor's degree is preferred.
    • Prefer a minimum of three (3) years of demonstrated administrative experience in office administration, operations, and/or management, bookkeeping, paralegal or legal assistant. Higher education or K-12 experience in a setting working with traditional college-age students is preferred.
    • Excellent communication skills, both oral and written
    • Strong interpersonal skills
    • Must be able to maintain a high level of confidentiality
    • Considerable judgment is required
    • Ability to make decisions guided by precedent and university policies
    • Must have the ability to demonstrate high proficiency in MS Office (Word, Excel, Outlook, and PowerPoint), Teams, Zoom, or similar online/virtual meeting platforms.
    • Organizational and planning skills are essential
    • Standard clerical skills
    • Demonstrated proficiency in English grammar
    • Ability to supervise student workers
    • Understand and support the mission and strategic plan of IJͼ
