Administrative Assistant for Student Affairs

°Ä²Êͼ¿â is currently seeking to hire a full-time Administrative Assistant for Student Affairs. This position will provide administrative and programmatic support, collaboration, and office coordination to the Vice President for Student Affairs and the Senior Leadership within the Division of Student Affairs.

Responsibilities include:

Secretarial & Administrative

  1. Provide general office management for the office of Student Affairs, including but not limited to:
  • Serve as receptionist and schedule/coordinate appointments.
  • Generate and handle all correspondence.
  • Initiate, direct, or redirect telephone communications.
  • Supervise student workers for the office of Student Affairs.

2. Provide general support and assistance to the Student Affairs Senior Leadership Team (may include Vice President, Associate VP, and Dean) in the administration of the division, including but not limited to:

    • Scheduling division & director staff meetings.
    • Generate an official list of division staff & department contact information, including emergency phone number list.
    • Maintain an accurate log of vacation/sick/personal leave utilization for division staff.

    3. Provide general support and assistance to the Student Affairs Senior Leadership Team with the division budgetary process, including but not limited to:

      • Create and process purchase orders, check requests, and journal transfers as needed for Student Affairs purchases and/or reimbursements.
      • Serve as secondary source to maintain petty cash, as needed, for specific departments in Student Affairs
      • Create monthly operating and student worker budget summaries.

      4. Coordinate the administrative/clerical oversight of the °Ä²Êͼ¿â Student Conduct Process including but not limited to:

        • Maintenance of Student Conduct Files.
        • Maintenance of police incidents log.
        • Tracking students’ progress through conduct system.
        • Production of conduct notifications and letters.
        • Coordinate meetings of the student conduct council.

        5.Provide general support and assistance to the Student Affairs Senior Leadership Team for division student support programs and special projects, including but not limited to:

          • Student Conduct System.
          • Student Needs Center.
          • Other areas within the division as needed.

          6. Coordinate and disseminate information regarding student emergencies, including follow-up as necessary.

          7. Maintain student records and office filing system whereby materials are properly accounted for and easily accessed.

          8. Assist in the annual updating of the °Ä²Êͼ¿â Student Handbook and other publications as assigned.

          9. Assist during division &/or institution wide events as needed (i.e. Orientation, Bulldog Basics, etc.)

          10. Monitors status of the division's website, portal site, and social media sites to ensure that they are updated.

          Professionalism, Communication, & Collaboration

          1. Must have the ability to demonstrate high proficiency in MS Office (Word, Excel, Outlook, and PowerPoint), Teams, Zoom, or similar online/virtual meeting platforms.
          2. Must have excellent verbal and written communication skills.
          3. Strong public relations and customer service skills with an ability to implement diplomacy and discretion at all times; an ability to work effectively with communities across the university; ability to maintain effective communication with all staff in Student Development area in order to maintain a welcoming environment and well-informed team approach.
          4. Must have a high ethical standard and a strong sense of confidentiality; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; displays solid problem solving and interpersonal skills; works well independently and as part of a team.
          5. Must have strong discretion to complete work assignments.
          6. Must have the ability to demonstrate a capacity for leadership, and the commitment to work collaboratively with a diverse and dynamic community.
          7. Must have a high attention to detail and be able to organize workflow, coordinate activities, balance simultaneous projects without loss of efficiency in a multi-tasked environment and manage multiple priorities to meet deadlines.
          8. Ability to manage, follow-up, work in collaboration and finalize projects, crisis situations and other issues that may arise.
          9. May be required to work more than 40 hours a week (including afterhours and weekends) to accommodate University events and projects.
          10. Must be able to move across the university campus to conduct day to day business.

          Job Requirements:

          • High school diploma or GED required; Bachelor's degree is preferred.
          • Prefer a minimum of three (3) years of demonstrated administrative experience in office administration, operations, and/or management, bookkeeping, paralegal or legal assistant. Higher education or K-12 experience in a setting working with traditional college-age students is preferred.
          • Excellent communication skills, both oral and written
          • Strong interpersonal skills
          • Must be able to maintain a high level of confidentiality
          • Considerable judgment is required
          • Ability to make decisions guided by precedent and university policies
          • Must have the ability to demonstrate high proficiency in MS Office (Word, Excel, Outlook, and PowerPoint), Teams, Zoom, or similar online/virtual meeting platforms.
          • Organizational and planning skills are essential
          • Standard clerical skills
          • Demonstrated proficiency in English grammar
          • Ability to supervise student workers
          • Understand and support the mission and strategic plan of °Ä²Êͼ¿â
